The Situation

PURE Property Management serves property investors by managing over 40,000 properties across 80+ local offices in 200+ markets and adjacent cities across 35+ states, with the vision of making renting and investing simple, smart, and more satisfying. From first-time landlords with a single rental to serial investors managing portfolios of 30+ units, their challenge wasn't just closing deals— it was delivering a unified customer experience across multiple markets, sales teams, and property types.

Before collaborating with ATAK, PURE's quoting process was often fragmented. Some BDRs presented financial projections over the phone. Others sent rough estimates via email. A few markets had printable templates, but nothing consistent. Leaving customers with an inconsistent experience in accessing accurate investment projections pulled CRM & tech resources.

PURE Property Management needed a quoting system that could scale from 1 unit to 100 without breaking, present accurate financial projections using live CRM data, deliver a professional experience across every market, and smoothly move prospects from quote acceptance to closed-won deals.

They weren't looking for a generic quote template. They needed a custom solution that could handle the complexity of their business while keeping their prospective customers at the forefront of their process.

The Solution

ATAK built a custom HubSpot quote template using HubSpot CMS, HubDB, and deep CRM integration. This wasn't a one-pager price sheet. It is an interactive, data-driven customer experience.

How It Works

Data Collection Stage

BDRs gather property details during discovery calls. Information flows into HubSpot deals, along with custom objects for Properties and Units. Property & owner data from a third-party system (Property Radar) gets plugged into deal & unit records.

Quote Generation

Once data is entered, the BDR creates a quote in HubSpot. The system pulls contact details from the CRM, pulls Property/Unit information from custom objects, displays investment projections using deal properties, and showcases everything in a clean, shareable web page.

Client Review

Prospects receive a link to review their personalized quote. They see contact information (name, email, property address), property details (bedrooms, bathrooms, square footage), investment projection (rental income, management fees, leasing fees, projected net), fee schedule (full-service property management, optional services), and terms and conditions.

If something's incorrect (like the address number or number of bedrooms), prospects can click "Request Edit" directly on the quote. The BDR gets notified, makes the correction in HubSpot, regenerates the quote, and sends it back.

Quote Acceptance

When the prospect clicks "Accept Quote," HubSpot automatically updates the deal stage to "Quote Accepted," generates a downloadable PDF, assigns a task to the BDR to create the Property Management Agreement (PMA), and follow up with the prospective client.

If they decline, they're redirected to book a meeting with the BDR. Either way, no lead falls through the cracks.

 

Technical Highlights

We built a custom CMS template with HubL, pulling data from HubSpot CRM and custom objects (Properties & Units).

HubDB integration powers dynamic fee schedules & facilitates edits on behalf of the prospective client. When client edits are made, they are pushed to HubDB, and a task is delivered to the BDR to recall and edit the quote so the changes are reflected. Different markets have different fee structures. All managed in HubDB tables that PURE'S team can update without developer support.

We tied pipeline stage automation directly to quote status, and integrated the Google Maps API to visually display property locations.

Faster Sales Cycles
BDRs no longer spend hours manually assembling quotes. Enter the data, generate the quote, and send the link. Prospects review on their own time, accept or request edits, and move to the PMA stage.

Better Data Governance
If the required property data isn't in HubSpot, the quote will appear incomplete. This forces clean data entry upfront, which means cleaner reporting and fewer errors downstream.

Sales Team Adoption
PURE's BDRs trained on the new system. Some use it more tactically than others, but every rep now has access to a tool that makes them look professional and speeds up commission timelines.

Market-Specific Flexibility
Different markets, different fee structures. No problem. PURE's operations team updates HubDB tables as needed (no developer required).

Pipeline Integration
The quote is now a stepping stone in PURE's deal pipeline. It's not the final contract. It's a qualification tool that moves prospects toward the PMA with confidence and clarity.
